Administration Specialist

JOB TITLE:                            Administration Specialist

 

SALARY:                               £15-19k depending on experience

 

REPORTS TO:                      Relevant Programme Managers

 

BASED:                                 MK office based

 

 

Background  

 

Under the strategic direction of the Chair, Board, and Chief Executive, and in response to our successful bids for EIF and National Skills Academy funding, Skills for Logistics (SfL) is reorganising and building capability better to serve logistics employers and achieve sustainability by 2014.

 

Key to the reorganisation is the intention to embed disciplines associated with project and programme management into SfL culture and practise. The delivery of each Programme will be through a number of projects – sometimes running in parallel, sometimes sequentially, through the life of that Programme. Each project will need a multi-disciplinary team to deliver it and these teams are likely to differ between projects.

 

To meet this challenge, we will run with a pool of in-house technical specialists in each of the following four functions:

  • Skills
  • Research
  • Implementation
  • Administration.

 

One person from each project team will be designated the Project Manager for the duration of the life of that project, according to the main specialist focus of that project.

 

 

Job Outline:

 

To support the teams across the business effectively and efficiently with all areas of administration working within the parameters set by the Programmes/Projects for the delivery of the required outputs funded by EIF2.

 

 

Key responsibilities and outcomes :

 

·         Receiving  incoming telephone calls, actioning where possible and passing to appropriate member of staff.

 

  • Pulling together and mailing out information packs

 

  • Entering data onto the CRM (Salesforce) system to ensure that our information on customers is coherent, accurate and an effective underpinning for our employer  engagement, implementation and commercial activities

 

  • Assisting with general office duties including:
    • Photocopying, collating and distributing reports, documents.  Originating and monitoring orders for publications, maintaining records of stocks and issues. 
    • Liaising with suppliers, eg.  Stationery, to ensure that all stationery and other consumables are always in stock at the required level in order to maintain continuity of our work.
    • Assisting  in the provision of efficient and effective business support across SfL to maintain an effective service to our customers.
    • Receiving and making telephone calls, taking messages where necessary and ensuring that the person making the call has a worthwhile experience with SfL no matter what their enquiry.
    • Arranging as necessary internal and external meetings to ensure the smooth operation of SfL’s business.
    • Compiling and distributing progress reports as necessary to the required timeline.
    • Taking informal notes or formal Minutes of meetings as necessary, and ensuring their efficient distribution in a timely manner.

Other technical specialists across the organisation including: Skills, Implementation, Research and other Administration Specialists.

 

 

Skills & Attributes

 

·         Excellent telephone skills.

·         IT skills – the ability to accurately and swiftly enter information into databases, produce documents using Microsoft Word, accurately enter data into spreadsheets.

·         Able to deal calmly and politely with difficult situations involving members of the public and staff.

·         High level of attention to detail.

·         Knowledge of the Freight Logistics Industry.

·         Note/Minute taking skills.

·         Flexible approach to work and business needs.

 

Qualifications & Experience

 

·         Level 2 Literacy, Numeracy and ICT.

·         RSA or equivalent typing/word processing.

·         At least 5 years’ administration/secretarial evidenced experience.
